At KW Medical Billing, our compensation is based on a percentage of what is collected from insurance companies on your behalf. However, insurance payments can take several weeks—or even months—to process and be paid out. During that time, we are actively working on your behalf: verifying benefits, submitting claims, handling rejections, managing follow-ups, and more.
To ensure our time and resources are valued and to protect against potential losses in the event of early service cancellation, we require a minimum monthly fee. This covers the essential labor and overhead involved in managing your account—even when payments have not yet come through.
This policy also helps ensure continuity in service and fairness, especially when claims are still in progress that we’ve already worked on. The minimum fee reflects the behind-the-scenes effort and commitment we provide to support your practice from day one.

While the majority of insurance claims and patient billing are handled electronically, there are still situations where paper processing is required. These fees cover the cost of materials, printing, postage, and the additional time it takes to manually prepare and mail these documents.
Paper Statements:
Some patients either do not have access to email or do not consent to receiving electronic statements. In these cases, we are required to send physical statements through the mail to remain in compliance and ensure proper patient communication. Paper statements also provide a tangible record for patients who prefer traditional mail or who may not respond to electronic notices.
Although we encourage practices to offer and promote electronic communication for faster service and lower costs, we understand that paper statements are still necessary in certain circumstances. This small fee helps us continue to offer that option while maintaining accuracy, professionalism, and compliance with patient preferences.
